POSITION
Cégep Heritage College is currently seeking to hire a temporary full-time Coordinator of Student Affairs to join the Student Services team from December 2023 to the end of January 2026 with possibility of extension.

MANDATE
Under the supervision of the Director of Student Services (DSS), the Coordinator of Student Affairs is responsible for certain management functions (leadership, organization, direction, communication, Human Resources management, policy implementation and evaluation) respecting programs, services and operations related to, student success, socio-cultural activities and First Year Experience program. The incumbent is also responsible for the implementation and management of systems required for effective operation of the student success data and for the verification and control of departmental procedures related to his/her activities. The incumbent supports the mission, vision and goals of Cégep Heritage College in both the regular and continuing education sectors. In consultation with other services, the incumbent manages some of the psychosocial portfolio as well as other student support services. The incumbent will also be called upon to interpret and apply by-laws, procedures and regulations related to the college, its activities and students.

FUNCTIONS
The Coordinator of Student Affairs exercises his or her functions more specifically in the following areas:

  • Student success and tracking;
  • Socio-cultural and multicultural activities;
  • Accessibility services;
  • Indigenous students services;
  • Student activities and projects;
  • Sustainability;
  • Manages and supervises personnel working in his sector of responsibilities;
  • Prepares reports and recommendations aimed at improving services offered to students;
  • Responsible for the management of budgets in his sectors;
  • Participates on College committees as assigned by the DSS;
  • Represents the College at the provincial level;
  • Works collaboratively with staff in Student Services;
  • Overseas Students Services department in the absence of the Director.

For the College, the Coordinator of Student Affairs, in consultation with the DSS:

  • Represents the College both internally and externally on committees related to his or her sector of activities;
  • Ensures that all laws, policies, procedures, and regulations related to his or her sector of activities and the College are respected;
  • Provides advice and recommendations to the Director of Student Services and to other Management members concerning his or her sector of activities;
  • Develops and promotes effective collaboration between his/her sector of activities and other College Departments and Services;
  • Coordinates the distribution of information regarding various operations under his/her responsibility;
  • Applies laws and regulations related to his or her area of activity.

For his or her Administrative Sector, the Coordinator of Student Affairs:

  • Prepares the operational calendar for Student Services to ensure that all college and Ministry deadlines are respected related to his sector;
  • In collaboration with the DSS, conducts meetings with personnel, Student Services and other professionals and committees;
  • Is responsible for data collection related to SPEC’S survey and implementation of the platform Dalia;
  • Produces statistics related to operations under his or her responsibility and as requested by other College departments or external organizations;
  • Liaise and collaborates with other services that are connected to student success, orientation, mentorship and student retention;
  • Is responsible to implement a robust mentorship program for incoming students;
  • Participates in the elaboration of policies, programs, work plans, development plans and budget planning related to his or her sector;
  • Organizes various student orientations in collaboration with the Student Services team;
  • Hires and supervises personnel in his sector of activity;
  • Deals appropriately with the dissatisfaction of students and users;
  • Develops means to assess user satisfaction;
  • Assists with the preparation and implementation of the Student Services work plan and provides data for the College's Annual Report for this sector;
  • Assists the Director of Student Services with the preparation of the staffing plan that reflects the needs of the department; hires personnel in accordance with procedures, policies and regulations in place;
  • In collaboration with the DSS, ensures the welcoming and integration of all new employees in Student Services;
  • Evaluates personnel under his or her supervision in accordance with policies and procedures in place;
  • Coordinates the distribution of information regarding various operations under his/her responsibility;
  • Participates in College wide events like but not limited to Student Award evening and Graduation;
  • Performs all other related tasks assigned by the Director of Student Services.

SALARY RANGE
Salary and other benefits commensurate with the Regulation respecting certain conditions of employment of senior staff of general and vocational colleges for a Class 7 position with a salary scale ranging from a minimum of $84,101 to a maximum of $112,133 per year.

Requirements

MINIMUM QUALIFICATIONS

Education

  • A minimum of a Bachelor’s degree in a related field which is recognized as equivalent by the competent authority.

Experience

  • Three (3) to five (5) years of relevant work experience, including some experience in the management of Student Services or other management experience is essential. In depth knowledge of students needs as well as an understanding of student pathway to success.
  • Experience related to working with Student Services and adult students would be considered an asset.
  • Excellent knowledge and skills in the use of technology in a Windows environment with software such as MS Word, PowerPoint, Excel.

  • Excellent verbal and written communication skills both in English and French.
  • Excellent interpersonal and organizational skills, a team builder, possesses a collaborative style, is able to create and foster and maintain good working relationships.
  • Excellent leadership and attention to detail.
  • Ability to create partnerships.
  • Good conflict resolution skills.
  • Ability to manage conflicting priorities and to deliver multiple projects with tight timelines.
  • Must be able to travel, work evenings and weekends as required.
  • Must have excellent work ethic with proven ability to work within a team and with minimal supervision.
  • Must be diligent, dynamic, creative, and able to exercise discretion.
  • Knowledge of the Cégep system would be an asset.
